How to Hire a Virtual Assistant in South Africa (UK Guide + Real Costs)

A practical UK guide to hiring a virtual assistant in South Africa. It covers where to look, how to vet candidates, the first tasks to hand over and what a VA costs at each level of experience.

To hire a virtual assistant in South Africa, start with a written list of the tasks you want off your desk. Then choose how you will hire. You can take on a freelancer, advertise and employ someone yourself through a local set-up, or use a recruitment and employer of record partner. Test every shortlisted person with a short, paid task before you decide.

Costs depend on experience. Flink's savings calculator puts a PA or VA in South Africa at an indicative £18,717 + VAT a year for up to 2 years' experience, up to £29,726 + VAT for 5+ years*. A once-off setup fee also applies. This guide covers where to find a VA, how to vet them, the tasks to hand over first and the full cost next to a UK hire.

What does a virtual assistant actually do?

A virtual assistant (VA) is an assistant who works for you from somewhere else. They use email, chat, video calls and shared files. Some VAs work for several clients a few hours at a time. Others work full time for one business, just like an office PA would.

Flink's guide to virtual assistants vs full-time admin lists common VA tasks. These include diary and inbox management, travel booking, data entry, CRM updates and research. In practice, a good VA becomes the person who keeps your week in order.

There is a difference between a VA and an executive assistant. An executive assistant usually works closely with one senior leader and handles more sensitive work. If you are not sure which you need, read how to choose between an executive assistant and a virtual assistant.

Why UK businesses look to South Africa for a VA

Three things make South Africa a common choice for UK firms. The first is the time zone. Flink's homepage notes that South Africa operates in UTC+2, which gives a strong overlap with the UK working day.

In practice, the gap changes with the seasons. UK clocks go back on 25 October 2026*, according to GOV.UK's page on when the clocks change. In UK winter (GMT), South Africa is 2 hours ahead. In UK summer (BST), it is 1 hour ahead. So a VA who starts at 9am in Cape Town starts at 7am or 8am UK time. That is useful if you want your inbox sorted before you sit down.

The second reason is language. Flink's homepage describes South Africa as having a large, English-speaking graduate talent pool. That matters, because most VA work is written. You still need to test each person's English, as the vetting section below explains.

The third reason is cost. A South African hire usually costs less than a UK hire at the same level. The cost section below shows the real figures, and where they come from.

Where to find a virtual assistant in South Africa

You have four main routes. Each one changes who employs the VA, who finds them and who carries the risk.

Route How it works Good for Watch out for
Freelance platforms You post a job, review profiles and pay by the hour or task Small, short or one-off jobs VAs juggle many clients; quality varies a lot; you do all the vetting
Your own job advert You advertise on job boards or LinkedIn and screen the replies Firms with time and hiring experience Hiring someone in South Africa as an employee brings local legal duties
Referrals You ask your network for a VA they trust Quick starts with some trust built in A good fit for a friend may not suit your work
Recruitment and employer of record (EOR) A partner finds, vets and employs the VA in South Africa; you manage the work Full-time roles you want to keep Compare setup fees, monthly costs and notice terms

Freelancer or employee?

This is the biggest choice you will make. A freelancer suits you if you need five or ten hours a week. You pay for the time you use and can stop when you want. The trade-off is that your work competes with other clients.

A full-time VA is different. They learn your business, your clients and your habits. They can own tasks from start to finish. For most firms that want a VA for more than 20 hours a week, a dedicated employee is the steadier choice.

If you employ someone in South Africa, South African law applies. That covers contracts, leave, notice and dismissal. Read the guide to South African employment law for UK employers before you set anything up. South Africa also has its own employer costs, which are covered in UIF, SDL and COIDA explained.

An employer of record is one way to handle this. The EOR becomes the legal employer in South Africa. It deals with the contract and payroll there, while you direct the daily work. To see what that looks like from brief to first payslip, read how an employer of record works, step by step. You can also compare providers for hiring in South Africa before you choose one.

How to vet a virtual assistant

A CV tells you very little about how a VA will handle your inbox on a busy Monday. Test the work. Here is a simple process that works for most small businesses. For a fuller version, see how to vet remote candidates, the complete process.

Step 1: Write a clear role brief

List the tasks, the tools and the hours. Say which hours must overlap with yours. Say what good work looks like after 30 days. A clear brief puts off people who are not a fit, and saves you time later.

Step 2: Screen on written English first

Ask applicants to answer two or three short questions in writing. For example: "A client emails to move a meeting you cannot move. Write your reply." Look for clear, polite and correct writing. Most VA work is written, so this one test filters out a lot.

Step 3: Set a short, paid task

Give your shortlist the same task, and pay for it. Make it close to the real job. Good examples:

  • Sort 20 sample emails into folders and draft three replies.
  • Find three hotels near a client's office within a set budget.
  • Tidy a messy spreadsheet of 50 contacts and flag duplicates.
  • Turn rough meeting notes into a clear summary with actions.

Use made-up data for the task. Do not hand over real client details before someone is hired.

Step 4: Interview on video

Use the interview to talk through the task. Ask how they made each choice. Ask what they would do if they got stuck. Ask about their working set-up too. What happens if their power or internet goes down? Do they have a backup? A good VA will have thought about this already.

Step 5: Check references

Speak to at least one past employer or client. Ask what the person was trusted with, how they handled mistakes and whether they would work with them again. Flink's guide to red flags when interviewing remote candidates has more warning signs to listen for.

A scoring table for your shortlist

Score each person from 1 to 5 on each line. Use the same table for everyone, so you compare like with like.

What you are testing What a 5 looks like Score (1 to 5)
Written English Clear, polite, correct, no need to edit
Accuracy No errors in the paid task; flags anything unclear
Judgement Makes sensible choices and explains them
Tools Already uses your email, diary and file tools, or learns fast
Reliability Has a backup plan for power and internet; strong references
Fit Hours match yours; asks good questions about your business

A total of 24 or more out of 30 is a strong shortlist. Anyone who scores 1 or 2 on accuracy or written English should not go further, however good the rest looks.

Which tasks should you delegate first?

Start small. Hand over tasks that are frequent, clear and low risk. Your VA builds trust and you learn how to brief them. Then move on to tasks that need more judgement.

Stage Tasks Why start here
Weeks 1 to 2 Inbox sorting, diary booking, data entry, CRM updates, filing Clear rules, easy to check, quick time back for you
Weeks 3 to 6 Travel booking, supplier follow-ups, research, meeting notes, document formatting Needs some judgement, but mistakes are easy to fix
Month 2 onwards First-line customer emails, invoice chasing, reports, managing small projects Needs trust and good knowledge of your business

If invoices and payments take up a lot of your time, a VA can help with the admin. For the books themselves, a specialist may be better. See outsourced bookkeeping vs a dedicated remote bookkeeper for that choice.

A quick worksheet: what to hand over

Write down every task you did last week that took more than 15 minutes. Then answer these four questions for each one.

  1. Does it happen every week?
  2. Could you write down the steps in under a page?
  3. Is a mistake easy to spot and fix?
  4. Does it need your own expertise or sign-off?

Score one point for each "yes" to questions 1 to 3, and one point for a "no" to question 4. Tasks that score 4 go to your VA first. Tasks that score 3 come next. Keep tasks scoring 2 or less for now.

Example (hypothetical): a small consultancy owner lists "booking client calls". It happens every week, the steps fit on half a page, a mistake is easy to fix and it needs no expertise. It scores 4, so it moves to the VA in week one. "Pricing a new proposal" scores 1, so the owner keeps it.

Data protection when a VA works from abroad

Your VA will see personal details, such as client emails and phone numbers. The UK GDPR still applies to that data. The ICO's brief guide to international transfers gives an example of a UK firm that lets an overseas organisation access data held on its systems. It says every restricted transfer needs a transfer mechanism, such as appropriate safeguards.

So give your VA their own logins, not shared passwords. Grant access only to what they need. Remove access on their last day. Ask a data protection adviser to check your set-up for your own case.

What does a virtual assistant in South Africa cost?

This is where most UK firms see the biggest difference. But you need to compare full costs, not just salaries.

The South African side

Flink's savings calculator gives indicative yearly costs for a PA or VA hired in South Africa through Flink. It also shows a typical UK salary for the same role and level.

Experience Indicative annual cost through Flink (+ VAT) Typical UK salary (calculator)
Up to 2 years £18,717* £26,400*
2 to 5 years £23,250* £36,000*
5+ years £29,726* £48,000*

These figures are indicative, from Flink's savings calculator (September 2026). Flink figures are + VAT. A once-off setup fee also applies. Your exact quote depends on the role. Ask for an itemised quote, so you can see what each figure includes.

The UK side

The salary is only the start of a UK hire's cost. You also pay costs set by law.

  • Employer's National Insurance. For 2026 to 2027, GOV.UK's rates and thresholds for employers show a rate of 15%* on earnings above the secondary threshold of £5,000 a year* for most employees.
  • Workplace pension. GOV.UK's guide to workplace pension contributions shows a minimum employer contribution of 3%. In most schemes this is based on earnings between £6,240 and £50,270 a year.
  • Minimum pay. GOV.UK's National Minimum Wage rates show £12.71 an hour* from April 2026 for workers aged 21 and over. A junior UK assistant cannot be paid less than this.
  • Holiday. GOV.UK's holiday entitlement page says most workers on a 5-day week get at least 28 days' paid leave a year*. Bank holidays can be part of that.

A side-by-side worksheet

Here is the UK side worked out using the calculator's typical UK salaries. These are the legal minimums only. Your own scheme or pay may be higher.

Experience UK salary Employer's NI (salary minus £5,000, x 15%) Pension (salary minus £6,240, x 3%) UK total before other costs South Africa through Flink (indicative, + VAT)
Up to 2 years £26,400 £3,210 £605 £30,215 £18,717
2 to 5 years £36,000 £4,650 £893 £41,543 £23,250
5+ years £48,000 £6,450 £1,253 £55,703 £29,726

On the UK side, you then add recruitment fees, a laptop, software and any desk space. On the South African side, add the once-off setup fee and check what the quote includes. Compare like with like, too: a junior VA in one country against a junior VA in the other.

For a step-by-step way to compare the two, read how to compare the total cost of UK and South African hires.

What a freelance VA costs

Freelance rates vary too much to give one honest figure. They depend on the platform, the VA's skills and how many hours you buy. If you go this way, compare the hourly rate times your expected hours with the yearly figures above. A freelancer can look cheaper per hour, but you may pay for more hours on handovers and checking work.

How to manage your VA once they start

The first month sets the pattern. Agree a daily check-in, even 10 minutes. Use one place for tasks, such as a shared task list. Write down each process the first time you hand it over. Your VA can then improve the notes as they go.

Plan for different public holidays. South Africa has its own, such as Freedom Day on 27 April and Heritage Day on 24 September*, listed on the South African government's public holidays page. Put them in your shared diary so nobody is caught out.

Give feedback early and often. Small fixes in week one save big problems in month three. For more on routines, meetings and feedback across the time gap, read the UK manager's playbook for remote teams in South Africa.

If your VA will answer customers, think about cover. A team in South Africa can extend your hours without night shifts. See how to get 24/7 support without night shifts for how some firms do this.

Where Flink fits

Flink Remotely helps UK businesses hire skilled remote staff in South Africa, including PAs, VAs and admin assistants. We act as recruitment partner and employer of record. We find the person, then employ them in South Africa and handle the contract, payroll and benefits there. You manage the daily work.

Every candidate is pre-vetted through video interviews, psychometric tests and reference checks. You can still run your own paid task and interview the shortlist yourself. Our talent pages show the kind of people we place, such as this administrative clerk with over 3 years in office support.

There is no upfront cost to engage Flink. A once-off setup fee covers sourcing, onboarding, equipment and testing. Flink handles IT and VoIP setup, and many clients onboard their new hire within a few weeks.

This route tends to suit a UK business that wants one dedicated assistant, full time, for the long term. It suits owners who are losing hours each week to admin and who will spend time training someone well. It may not suit you if you only need a few hours a month. A freelancer is likely to be a better fit then. It may also not suit you if the role needs someone in your office, or if you cannot commit to a manager who briefs and checks the work.

Before you decide, compare the full yearly cost on both sides, what the setup fee covers, the notice terms and what happens if a hire leaves. You still own the tasks, the goals and the feedback. We handle the employment side in South Africa.

What this means for you

Start with the list of tasks you want to hand over. Score them with the worksheet above. If you have more than 20 hours a week of steady admin, a dedicated VA is worth a close look.

Then pick your route. A freelancer suits small, flexible needs. An employee suits steady, full-time work, and an employer of record can handle the South African side for you. Whichever route you take, test the work with a paid task, check references and protect your data.

Finally, compare full costs. Use the side-by-side worksheet, add your own extras and ask for an itemised quote. If you are also weighing up a UK hire, note that UK employment law is changing. Read what the Employment Rights Act 2025 changes for UK employers before you decide.

Frequently asked questions

How many hours a week do I need to justify a full-time VA?

There is no fixed rule. As a rough guide, if you have more than 20 hours a week of steady admin, a dedicated VA usually makes sense. Below that, a freelancer may be enough.

Will a VA in South Africa work UK hours?

Most will agree to UK office hours. South Africa is 1 hour ahead of the UK in summer and 2 hours ahead in winter. So a 9am start in South Africa is 7am or 8am in the UK.

Is it safe to give a VA access to my inbox?

It can be, with the right set-up. Give your VA their own logins, limit access to what they need and remove it when they leave. The UK GDPR still applies, so check your transfer safeguards with an adviser.

What does a VA in South Africa cost through Flink?

Flink's calculator shows an indicative £18,717 + VAT a year for up to 2 years' experience, £23,250 + VAT for 2 to 5 years and £29,726 + VAT for 5+ years. A once-off setup fee also applies, and your exact quote depends on the role.

Can I try a VA before I commit?

Yes. Use a short, paid task during hiring. Once someone starts, set clear goals for the first 30 days and review them together at the end of the month.
